Personal Assistant to Representative

About the role
Under the direct supervision of the Representative, the Personal Assistant provides comprehensive administrative support to ensure smooth operation of the Representative’s office, coordinating business processes and meeting deadlines.
Key responsibilities
- Coordinate and monitor business processes, procedures and activities for the Representative’s office.
- Provide research support, prepare periodic and ad‑hoc reports on programme and project activities.
- Prepare and maintain records, documents and control plans for administrative and financial functions.
- Manage the Representative’s schedule, official receptions and work program.
- Organise meetings, workshops and conferences, draft agendas and act as secretary.
- Maintain filing system and telephone/address directory of stakeholders.
- Draft routine correspondence and ensure compliance with UN standards of conduct.
- Perform additional administrative and logistical duties as required.
Required profile
- Completed secondary education; university degree desirable.
- Minimum six years of experience in administration or office management.
- Proficiency with standard computer software applications.
- Fluency in English; knowledge of other UN languages is a plus.
- Demonstrated integrity, commitment to UNFPA values and ability to work in a diverse environment.
