Supply Assistant – Fuel Logistics & Procurement

About the role
The Supply Assistant will support the coordination and control of fuel product movements from third‑party depots to TotalEnergies depots and customer sites in Zimbabwe. The role ensures accurate reconciliation of product uplift, stock movements, and compliance with local regulations.
Key responsibilities
- File all signed supply contracts and agreements electronically and physically for easy access.
- Create accurate product price build‑ups for main fuels using Platts quotations and circulate them for approval.
- Generate purchase orders and stock transfer orders in SAP to guarantee uninterrupted product distribution.
- Manage fuel and ethanol supplier portfolios and vendor accounts in SAP.
- Initiate and track product payment requests to avoid supply interruptions.
- Perform daily stock analysis to maintain a 5‑day stock level KPI and activate replenishment plans.
- Submit supplier invoices to Finance, ensuring GRIR does not exceed one month.
- Prepare statutory reports for ZERA and the Ministry of Energy on a daily, weekly, and monthly basis.
- Maintain up‑to‑date supplier contracts, due‑diligence files, and deal recaps.
- Update payment tracking files, monitor lead‑time KPIs, and request statements from suppliers.
- Release product from suppliers at least five days before potential stock‑out.
- Conduct monthly in‑transit reconciliation and priority control reporting.
- Monitor depot stock levels using supply forecasts and process stock transfer orders across locations.
Required profile
- Degree in Business Studies, Finance, Engineering, Purchasing or Supply Management.
- Minimum of 3 years experience in the fuel industry or supply and logistics.
- Knowledge of petroleum product terms, qualities, and quantification.
- Understanding of Zimbabwe market regulations (ZERA, RBZ) and ability to adapt to policy changes.
- Proficiency in SAP for procurement and vendor management.
